Using HaloVault
HaloVault helps you document, organize, value, share, and sell physical items. You are responsible for the accuracy of your records and for deciding how to use them.
You must use the service lawfully, keep your login secure, and only upload content you have the right to store and share.
Tenant ownership and permissions
Your tenant owns its vault content. Owners control membership and decide who can view or change tenant records.
If you invite staff, consignors, contractors, or collaborators, you are responsible for their access and for removing access when it is no longer needed.
Inventory, photos, and evidence
HaloVault can store photos, EXIF metadata, notes, item locations, cost basis, sale details, certificates, audit records, and insurance or estate reports.
AI intake, price suggestions, OCR, matching, and marketplace prep are assistive tools. Review the output before relying on it, exporting it, or publishing it.
Your content and the license you grant HaloVault
You keep ownership of the photos, images, videos, scans, and other media you upload to or capture in HaloVault.
To operate and grow the service, you grant HaloVault a worldwide, non-exclusive, royalty-free, transferable, and sublicensable license to host, store, back up, reproduce, adapt (for example resize, crop, rotate, compress, de-identify, or watermark), publish, publicly display, and otherwise use the photos and other media you provide. We use this license to run, secure, and improve HaloVault and its features — including public card pages, share links, the collection network, marketplace and listing tools, AI identification, pricing, grading, and duplicate detection — and to demonstrate, promote, and market HaloVault and those features.
You confirm that you own or have the rights needed to grant this license for everything you upload, and that HaloVault's use as described will not infringe anyone's rights. Do not upload photos you are not allowed to share.
This license lasts while your content is in HaloVault, and continues for content you have made public, that remains in backups, or that we must keep as described in 'Exports, deletion, and retention.' When you delete content, we stop using it for new purposes within a reasonable time, except where we must retain records for the reasons listed in these terms.
Payments and fees
Stripe handles payment processing where subscriptions, seller checkout, connected accounts, payouts, or card payments are enabled.
You agree to Stripe's applicable terms when you use Stripe-powered checkout or payouts. HaloVault may record transaction identifiers, fees, payment status, and order details.
Some paid tiers and business plans may be invoiced manually during the pilot. Plan limits, fees, and availability may change as the product matures.
Marketplace integrations
When you connect eBay or use Discogs-related workflows, you authorize HaloVault to send and receive the data needed to provide that integration.
You are responsible for marketplace listings, item descriptions, pricing, shipping promises, taxes, returns, and compliance with eBay, Discogs, and other marketplace rules.
Exports, deletion, and retention
You can export supported vault data, including inventory CSV exports. Contact [email protected] if you need help with a broader export.
You may request deletion of your account or tenant data. We may retain records when needed for backups, security, fraud prevention, payment reconciliation, disputes, taxes, accounting, or legal obligations.
No professional appraisal or legal promise
HaloVault is not a substitute for a certified appraisal, insurance underwriting, legal advice, or tax advice.
Reports and value ranges are documentation tools. You should verify high-value records before making financial, insurance, legal, or marketplace decisions.
